As a Billing Specialist, you are responsible for managing and overseeing the billing process for an organization. You ensure a accurate and timely preparation, issuance, and tracking of invoices to customers, clients, or other parties.
What your day will look like
- Generate and issue accurate invoices based on contracts, service agreements, or purchase orders
- Verify billing data, including rates, quantities, and taxes, to ensure accuracy.
- Manage recurring or subscription-based billing cycles
- Record payments received and apply them to the appropriate customer accounts
- Reconcile discrepancies between invoices, payments, and account balances
- Respond promptly to customer inquiries regarding invoices
- Resolve billing disputes or discrepancies in a professional and timely manner
- Provide detailed explanations of charges or adjustments as requested by clients
- Maintain and update customer billing records in the financial system
- Coordinate with sales or account management teams to address special billing requirements or adjustments
- Ensure all billing activities comply with company policies, tax regulations, and industry standards
- Prepare and present regular reports on billing
- Assist in audits by providing documentation related to invoices
- Operate and maintain billing software or accounting systems
- Identify inefficiencies in the billing process and propose improvements.
- Support the implementation of new tools or systems for billing and payment processing.
- Work closely with the finance team to ensure accurate bookkeeping and financial reporting
- Partner with sales and customer service teams to address client-specific billing needs
- Collaborate with legal or compliance teams to align billing practices with contracts and regulations
- Maintain confidentiality of client financial data
- Stay updated on changes in billing regulations or financial software updates
- Provide training or support to new team members in billing processes
What you need to fulfill the role
- High school diploma or equivalent (required)
- Bachelor’s degree in Accounting, Finance, Business Administration, or Economics
- 4+ years in finance, ideally in a multi-national company
- Proven experience as a Billing Specialist, Accounts Receivable Specialist, or in a similar financial role
- Experience with invoicing, billing systems, or financial software (e.g., QuickBooks, SAP, or Oracle)
- Knowledge of basic accounting principles and procedures
- Excellent written and spoken English skills. Proficiency in French, German or Spanish would be a strong advantage
- Prior working experience in intercompany, FP&A, controllership, or other related Finance functions
- Familiar with financial eco-systems would be beneficial
- Proficiency in Microsoft Office Suite, especially Excel (e.g., pivot tables, VLOOKUP, and data analysis)
- Familiarity with billing and accounting software
- Strong mathematical skills and attention to detail to ensure accuracy in billing and payment records
- Good communication skills to interact with internal teams and clients
- Problem-solving ability to resolve discrepancies and issues effectively
- Technical proficiency with billing software and accounting tools
- Strong organizational skills to manage multiple accounts and deadlines
- Understanding of compliance and legal requirements related to billing and financial operations
- Ability to handle confidential information with professionalism and discretion
