What your day will look like
We are looking for a proactive and solutions-oriented Enablement Operations Coordinator to join our team.
This role plays a key part in supporting the day-to-day operations of the Thinkproject Enablement operations, systems, and processes, ensuring smooth administration of our Learning Management System (LMS) and our sales enablement platform (Showpad), efficient communication with stakeholders, and high-quality service to both internal and external users.
The Enablement Operations Coordinator will take ownership of essential operational tasks such as managing user access, investigating key compliance topics, and continuously improving Academy and Sales (Enablement) processes. You will also collaborate closely with colleagues across departments, assist with technical requests, and help maintain high standards in our learning service delivery.
If you're a natural problem solver, highly organised, and enjoy working at the intersection of technology, learning, and customer service, we’d love to hear from you.
Main responsibilities:
- LMS & Showpad Management: Manage the operational administration and continuous improvement of the Thinkproject Academy LMS (eFront) and Showpad, including user and access management, content and workspace structures, system settings, reporting, platform-related processes, and coordination with relevant business owners.
- Reporting and Analytics: Own and continuously improve Academy and Enablement reporting requirements, data quality and reporting processes. Prepare and maintain recurring internal, customer-facing and Salesforce or deal-related reports, including user activity, active and returning users, training hours, compliance and sustainability-related data. Provide ad hoc analysis and translate data into insights that support operational and business decisions.
- Communication: Manage the Academy mailbox, ensuring timely and helpful responses.
- Customer Support Coordination: Support customer queries via ticketing systems (Salesforce Service Cloud) and assist in refining customer request forms.
- Process Design and Automation: Design, document and continuously improve end-to-end Academy and Enablement processes. Identify and implement opportunities to reduce manual work through AI-supported solutions, simple automations or other suitable tools. Ensure that processes are clearly documented, transferable to other team members, and aligned with business priorities.
- Research, Compliance and Operational Risk Monitoring: Monitor and assess regulatory, compliance and operational developments relevant to Thinkproject Academy and Enablement operations, including data protection, accessibility, AI-related requirements, customer-data handling, customer reporting and data-sharing requirements, access governance, and audit obligations. Coordinate with Legal, IT, Services and other relevant stakeholders to translate these requirements into practical actions, maintain supporting documentation, and ensure that necessary updates are implemented in a timely manner.
- Documentation, Process and Knowledge Oversight: Create, maintain and continuously improve Academy and Enablement documentation, process guides, compliance trackers and project boards. Document key workflows in a clear and transferable way, keep relevant records up to date, support knowledge sharing and effective cross-coverage across the team.
- Feedback Analysis and Action Planning: Establish and coordinate a structured process for collecting, categorising and analysing feedback from learners, customers and internal stakeholders. Identify recurring themes and improvement opportunities, work with eLearning Experts and relevant stakeholders to define action plans, track agreed actions, and communicate progress and outcomes.
- Team Collaboration: Contribute to a team-focused, supportive environment.
- Cross-functional Enablement Projects and Continuous Improvement: Contribute to and, where assigned, coordinate projects that improve Academy and Enablement operations. Support timely Academy and Enablement setup related to Salesforce opportunities and customer requirements. Prioritise these activities with the manager and reflect them in the role’s objectives and workload.
- Stakeholder Engagement and Cross-functional Coordination: Build effective working relationships with stakeholders across Academy, Enablement, Services, Sales, Account Management, IT, Legal, Product, vendors and customers. Gather and clarify requirements, translate them into actionable next steps, coordinate follow-up and dependencies, and support process improvements and consistent communication across stakeholder groups.
What you need to fulfill the role
- Experience in LMS administration, Enablement Operations or customer-facing roles within a digital learning or SaaS environment.
- Experience with process mapping, documentation, workflow improvement and automation.
- Experience preparing operational reports, analysing data and translating findings into actionable improvements.
- Experience working with stakeholders across different departments and managing follow-up activities.
- Familiarity with CRM, ticketing and other SaaS tools, such as Salesforce.
- Strong organisational skills and the ability to manage multiple priorities independently.
- A self-managed, proactive mindset with a strong sense of responsibility.
- Problem-solving ability with a keen eye for detail.
- Positive, can-do attitude and a collaborative team player.
- Fluent in English; additional languages (especially German or French) are a plus.
