As an Event Manager, you oversee the planning, coordination, and execution of internal events and third-party tradeshows. This includes managing logistics, budgets, vendors, and staff to ensure high-quality experiences. Strong communication and organizational skills are essential to deliver impactful, memorable events.

What your day will look like

Key Responsibilities:
 
1. Event/Tradeshow Planning & Execution (In-Person & Online)
  • Plan and execute physical, virtual, and hybrid events, ensuring smooth operations
  • Develop event concepts, timelines, and logistics plans
  • Collaborate with stakeholders to define objectives, target audiences, and content strategy
  • Coordinate with speakers, panelists, and guests for both live and virtual events
2. Live & Virtual Event Management
  • Set up and manage live-streamed events and webinars using platforms like Zoom, Microsoft Teams or other event software
  • Ensure a seamless live experience by coordinating technical aspects such as streaming, AV equipment, and digital interaction tools
  • Work with production teams to handle lighting, sound, and video quality for online broadcasts
  • Troubleshoot technical issues in real time during live events
3. Podcast/Videocast Production & Coordination
  • Oversee the scheduling, recording, and post-production of podcast and videocast episodes
  • Collaborate with podcast hosts, guest speakers, and producers to create engaging content
  • Coordinate audio/video recordings, ensuring high production quality
  • Support the distribution of podcasts across platforms such as Spotify, Apple Podcasts, and YouTube
4. Budgeting & Vendor Coordination
  • Develop and manage event budgets, tracking expenses for both in-person and virtual productions
  • Negotiate contracts with venues, AV teams, streaming platforms, and podcast production partners
  • Source and manage third-party service providers, including tech support, designers, and video editors
5. Audience Engagement & Marketing
  • Collaborate with marketing teams to promote events and podcasts through social media, email campaigns, and online communities
  • Develop engagement strategies, including Q&A sessions, live polling, and audience interaction tools
6. Post-Event Analysis & Reporting
  • Gather audience feedback through surveys and analytics tools
  • Provide post-event reports and recommendations for improvements

What you need to fulfill the role

Qualifications and Experience
  • Education: Bachelor’s degree in Event Management, Hospitality, Marketing, Business, or related field (or equivalent experience)
  • Experience: Typically, 3+ years of experience in event management or a related field, organization and implementation of international (on & offline) events outside your own country
  • Technical Skills: Experience with Zoom, Microsoft Teams or similar platforms.
Key Skills and Competencies
  • Event Management: Strong ability to coordinate both physical and virtual events
  • Technical Proficiency: Familiarity with live-streaming platforms, virtual event software, and podcasting tools
  • Communication: Excellent verbal and written communication in English, French is a Plus - with the ability to liaise with diverse stakeholders
  • Problem-Solving: Ability to troubleshoot live event issues and ensure smooth execution
  • Project Management: Strong organizational skills, ability to manage multiple projects simultaneously
  • Flexibility & Travel Willingness: Available to travel for in-person events and oversee on-site logistics.
