Thinkproject is a European market-leader in digitalisation tools for construction companies. It sounds complex, but we'll explain further! Construction companies used to use manual administration and physical paperwork for projects (sometimes hundreds of thousands of bits of paperwork for one project!). What your day will look like
- Lead the planning, coordination, and execution of own events, tradeshows/other 3rd party events
- Collaborate with stakeholders and internal teams to understand event/ tradeshows goals, target audience and requirements and and ensure delivered quality and timings of all stakeholders (e.g. content, agenda und speaker selection)
- Maintain clear and consistent communication with all stakeholders, providing regular updates on project status, milestones, and any issues that arise
- Ensure delivered quality and timings of all stakeholders (e.g. content, agenda und speaker selection)
- Manage event budgets, ensuring all expenses are within agreed limits
- Track expenses and negotiate with vendors to secure the best rates
- Support in creation of post-event financial reports, analyzing profitability and cost-effectiveness
- Coordinate with vendors, suppliers, and contractors for services such as catering, audio-visual setups, decorations, and transportation
- Collaborate with internal team to create event/booth concept, brief agency/booth builders
- Collaborate with design team to make sure all event/tradeshow is on brand
- Oversee set-up, execution, and teardown of events, ensuring all logistics run smoothly
- Manage on-site event staff, including volunteers if needed
- Assign roles and responsibilities to team members, ensuring efficient workflows
- Collaborate with the team or develop strategies to promote events through social media, email campaigns, and partnerships
- Oversee the design and distribution of promotional materials
- Serve as the primary point of contact for all event participants, staff, and vendors
- Manage event timelines, ensuring adherence to schedules
- Troubleshoot issues in real time, making quick decisions to maintain event quality
- Travel to event locations to supervise and manage all on-site activities
- Gather attendee feedback and measure event success through surveys, feedback forms, and metrics like attendance and engagement
- Prepare post-event reports summarizing financial performance, client satisfaction, and areas for improvement
- Reflect on insights gained to improve future event planning
What you need to fulfill the role
- Education: Bachelor’s degree in Event Management, Hospitality, Marketing, Business, or related field (or equivalent experience).
- Experience: Typically, 3+ years of experience in event management or a related field, organization and implementation of international events outside your own country
- Project Management: Strong ability to manage multiple tasks, prioritize, and meet deadlines
- Communication and Interpersonal Skills: Excellent verbal and written communication in English, French is a Plus - with the ability to liaise with diverse stakeholders
- Problem-Solving: Able to think quickly and resolve issues as they arise during events
- Attention to Detail: Ensures all aspects of the event are executed to high standards
- Budgeting and Financial Acumen: Experience in managing budgets, negotiating contracts, and tracking expenses
- Flexibility and Travel Willingness: Comfortable traveling to different event locations
