What your day will look like

The Office Administrator (Facility) is responsible for ensuring the smooth operation and maintenance of office facilities, managing administrative tasks, and supporting a productive and safe work environment. 
 
This role requires a proactive individual with excellent organizational, problem-solving, and communication skills to oversee facility management, vendor coordination, office supplies, and general office administration. 
 
This role is ideal for a highly organized and proactive individual who thrives in managing office facilities while ensuring a smooth and efficient work environment for employees.

What you need to fulfill the role

·       2+ of experience in cash application, accounts receivable, or a similar finance-related role..
·        Excellent written and spoken English skills. Proficiency in French, German or Spanish would be a strong advantage!
·        Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and office management software.
·        ERP & Procurement Tools: Familiarity with financial and procurement platforms for budget tracking and vendor management.
 
 
Education: 
·        Bachelor's degree in Accounting, Finance, Business Administration, Facility Management or a related field (or equivalent work experience).
·        Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and office management software.
 
 
Technical/Specialized Knowledge, Skills and Abilities: 
 
·        Facility Management: Understanding of office maintenance, space planning, and workplace safety regulations.
·        Vendor & Contract Management: Ability to source, negotiate, and manage service provider contracts for cleaning, security, repairs, and office supplies.
·        Health & Safety Compliance: Familiarity with workplace safety regulations, fire safety protocols, and emergency response procedures.
·        IT & Office Equipment Management: Basic troubleshooting knowledge of office technology (printers, Wi-Fi, access control, conference room AV equipment).
·        Building Systems Knowledge: Understanding of HVAC, plumbing, electrical, and security systems in an office environment.
·        Budget & Expense Management: Experience in tracking office expenses, managing facility budgets, and processing vendor invoices.
