What your day will look like

Role Summary

We are seeking a proactive and well-organized Office Administrator (f/m/d) to oversee day-to-day operations of our ThinkProject - Pune office. The role involves managing facility coordination within a managed workspace environment, corporate travel and logistics, executive support, compliance documentation, vendor management, and corporate event coordination.

The ideal candidate will ensure smooth office operations, maintain regulatory compliance, and create a professional and engaging workplace experience for employees and visitors.

 
Key Responsibilities

  • Manage daily office administration and facility coordination, including access control, seating arrangements, meeting room bookings, and workspace utilization.
  • Act as the primary liaison with the workspace facility management team (WeWork) to address infrastructure, maintenance, and operational requirements.
  • Handle corporate travel, accommodation, visa coordination, and related logistics.
  • Provide executive assistance and hospitality support, including meeting scheduling and visitor coordination.
  • Lead corporate events and meeting coordination, executing logistics for team gatherings, leadership meetings, and cultural committee initiatives.
  • Manage end-to-end logistics for internal events including venue coordination, vendor liaison, catering, and materials.
  • Maintain documentation related to ISMS, statutory compliance, and location-specific regulatory requirements.
  • Ensure proper documentation, tracking, and management of contracts, vendor agreements, and compliance records.
  • Coordinate vendor services, manage contracts, and monitor service quality.
  • Prepare periodic reports on attendance, facility usage, and administrative metrics.

What you need to fulfill the role

  • 3–6 years of experience in office administration or facility management.
  • Experience working within a managed office or shared workspace setup is preferred.
  • Strong coordination skills in corporate travel, vendor management, and event logistics.
  • Familiarity with statutory compliance, ISMS documentation, and location-specific regulatory processes.
  • Excellent organizational, communication, and multitasking abilities.
