What your day will look like

About the role

The Office & Facilities Assistant (f/m/d) plays an important role in ensuring the smooth day-to-day operation of our Reading office and providing a welcoming, safe and well-organised working environment for employees and visitors.

The Reading office is approximately 200 sqm and is located within a coworking environment. The role acts as the main local point of contact for office and facilities-related matters, working closely with the coworking provider/building management, external suppliers and the Group Facility Manager.

Key responsibilities

  • Manage the day-to-day operation and general readiness of the Reading office, ensuring a clean, safe, organized and professional working environment.
  • Act as the local point of contact for employees regarding office and facilities-related requests.
  • Coordinate meeting rooms, internal meetings and workplace requirements as needed.
  • Monitor office supplies, refreshments and other consumables and arrange orders when required.
  • Coordinate minor maintenance and repair activities with the coworking provider, building management and approved external contractors.
  • Liaise with the coworking provider/building management regarding maintenance issues, repairs, access, building services and changes affecting the office.
  • Support the tracking of the local facilities budget and the validation and processing of facilities-related invoices.
  • Support employee onboarding and offboarding activities, including workplace preparation, access arrangements and other office-related requirements.
  • Welcome visitors and contractors and coordinate access to the office where required.
  • Manage incoming post, deliveries and couriers.
  • Organize and support local company events, celebrations, meetings and workshops.
  • Monitor the condition and presentation of meeting rooms, shared spaces and office equipment and address issues as required.
  • Provide the Group Facility Manager with regular information and reports relating to local office operations, such as office occupancy, facilities issues and supplier activities.
  • Support local Health & Safety activities, including workplace checks, maintaining relevant records, reporting incidents or hazards and supporting risk assessments and emergency arrangements.
  • Ensure local facilities activities follow company policies, procedures and applicable Health & Safety requirements.
  • Support other office and facilities-related activities as required.

What you need to fulfill the role

Experience & qualifications

  • Previous experience in an Office Assistant, Facilities Assistant, Workplace Coordinator or similar role.
  • Experience working with suppliers, contractors or building management would be an advantage.

Skills & competencies

  • Excellent organisational and time-management skills.
  • Strong attention to detail and a proactive approach to identifying and resolving issues.
  • Excellent written and verbal communication skills in English.
  • Confident working with employees, visitors, suppliers and contractors at different levels.
  • Good working knowledge of Microsoft Office (Outlook, Excel, Word and PowerPoint).
  • Ability to prioritise tasks , work independently and taking ownership of day-to-day workplace matters.
  • Service-oriented, approachable and professional manner.
