Mission

The PMO Specialist supports customer projects in the Professional Services organization of a SaaS ConTech company by keeping project information accurate, current, and consistent. The role administers projects in Kantata, coordinates tasks and plans across ClickUp and Microsoft Project, and assists Project Managers with operational follow-up. The PMO prepares reliable information for reporting and decisions, while final project decisions and customer commitments remain with the Project Manager and other accountable owners.

Main responsibilities

  • Project Data and Reporting Support: Collect and consolidate updates from workstreams, maintain data in the tools used to manage the project, and check its consistency and quality so Project Managers have reliable inputs for status reports and decisions.
  • Kantata Administration: Understand the company’s internal Kantata mechanisms, set up projects according to internal standards, and maintain project data, assignments, timelines, tasks, milestones, forecasts, and status information.
  • Task Management: Maintain clear task structures in ClickUp and Kantata, ensure owners and due dates are assigned, follow up on overdue actions, refine unclear tasks, and remove duplicate entries.
  • Resource Coordination: Track assignments, capacity, availability, absences, onboarding, role gaps, and project access, updating the relevant records and assisting Project Managers with follow-up.
  • Budget Monitoring: Maintain Kantata assignments and budget data, compare budget consumption with project progress, and provide accurate financial inputs and analyses to Project Managers.
  • Project Planning: Maintain integrated plans in Microsoft Project, including milestones, work packages, schedules, and dependencies, and provide current planning views to Project Managers.
  • Project Tools and Dashboards: Build and maintain trackers, KPIs, checklists, and dashboards using Excel, Power BI, ClickUp, and other approved tools to improve project visibility.
  • Meeting Coordination: Prepare agendas, collect topics, document decisions and actions, distribute minutes, and follow up on outstanding actions until closure.
  • Risk and Dependency Tracking: Maintain RAID logs and ensure risks, issues, actions, and dependencies have clear owners, mitigation measures, and aligned statuses across relevant systems.
  • Delivery Coordination: Track deliverables, document reviews, QA readiness, defects, retests, deadlines, and handover activities, escalating gaps to the accountable owners.
  • Decision and Workstream Support: Consolidate information across workstreams and turn incomplete topics into clear task lists, escalation proposals, and decision input for Project Managers and management.
  • AI-Enabled Data Analysis: Actively use approved AI solutions in day-to-day data analysis, assess the accuracy and relevance of AI-generated insights and outputs, and provide feedback on issues and improvement opportunities. Develop and use approved AI agents to automate report data collection and consolidation, with outputs checked before they are used.
